Earn AI Privacy Policy

This Privacy Policy explains how Earn AI ("Earn AI," "we," "us," or "our") collects, uses, discloses, and protects information when you use our mobile application (the "App"). By using the App, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
This Privacy Policy is written for users located in the United States. If you access the App from outside the United States, please note your information will be processed in the United States as described below.
1. Information We Collect
Earn AI is an income and expense tracking app. You manually enter financial information and may use our AI-powered receipt and voice scanning feature to speed up data entry. We do not connect to or access your bank accounts, and we never request or store your banking credentials.
1.1 Information You Provide Directly
When you create and use an account, we collect:
Account information: first and last name, email address, and authentication identifiers when you sign in with Google or Apple. (Apple may not share an email address, in which case this field may be left blank.)
Income and expense records: amounts, associated costs (e.g., materials, tips), profit, date, notes, and optional details you choose to add such as client name, phone number, email address, company, address, job type, service category, position/title, hours worked, quantity, whether the client is a repeat client, platform or source, tags, city, state, and ZIP/postal code, and trip distance.
Monthly financial goals you set (year, month, and target amount).
Photos of receipts or documents you choose to upload or capture for AI scanning.
Voice recordings you choose to provide for voice-to-text data entry (processed as transcribed text; see Section 4).
Subscription information: your subscription status, Apple product and transaction identifiers, renewal/expiration date, and signed receipt data provided by Apple when you purchase a subscription through Apple's In-App Purchase system.
Any other information you choose to enter into the App.
1.2 Information Collected Automatically
Device identifier: a unique identifier associated with your device, stored with income/expense records and used to support sync across your devices.
App version and basic technical information needed to operate and sync the App.
Crash and error data collected through Firebase Crashlytics if the App crashes or encounters an error (see Section 5).
We do not collect precise or approximate location data. We do not request access to your device's location services.
1.3 Information We Do Not Collect
Bank account numbers, routing numbers, or online banking credentials. The App does not link to or sync with any bank account.
Payment card numbers. All subscription payments are processed entirely by Apple through In-App Purchase; we never receive or store your card information.
Precise device location.
Profile photos.
2. How Information Is Collected
Directly from you, when you create an account, enter income/expense data, set goals, upload a receipt photo, use voice input, or contact support.
Automatically, through your device and our servers, for the technical and sync purposes described above.
From Apple or Google, limited to an identity token when you sign in using “Sign in with Apple” or “Sign in with Google,” and from Apple, transaction and subscription notification data when you purchase or renew a subscription.
3. How We Use Your Information
We use the information we collect to:
Provide the App's core features, including recording, organizing, and displaying your income and expense data.
Power the AI receipt/voice scanning feature, by sending the content you submit to our AI service provider for parsing (see Section 4).
Generate the annual summary document of your income and expense transactions and make it available to you for export as a PDF or CSV file.
Sync your data across your devices via our cloud-hosted database.
Maintain, secure, and troubleshoot the App, including diagnosing crashes and errors.
Process and manage your subscription through Apple's In-App Purchase system.
Send you service-related communications, such as confirmations, security alerts, and support responses.
Send push notifications you have opted into, such as reminders (see Section 9).
Comply with applicable law and enforce our Terms & Conditions.
We do not use your information to serve advertising, and we do not sell your information to third parties for monetary consideration.
4. AI-Powered Receipt and Voice Scanning
A core feature of Earn AI lets you photograph a receipt, type a note, or speak a voice note, which our AI service provider then parses into structured income or expense data for your review. This feature is currently powered by OpenAI (GPT-4.1).
What is sent to our AI provider:
The text, photo, or voice transcript you actively submit in that moment, for the purpose of extracting income or expense details (such as amount, date, vendor, or category).
We do not automatically export your full transaction history to our AI provider. Data is sent only when you actively initiate a scan or AI-assisted entry.
Important details about this processing:
We do not retain a history of your AI requests on our own servers.
Our AI provider may temporarily retain submitted content in accordance with its own privacy policy and data retention practices, which are outside our control. We encourage you to review OpenAI's privacy policy for details.
We do not permit our AI provider to use your data to train their models for purposes unrelated to providing the service to us, to the extent such controls are available to us under our agreement with the provider.
Earn AI does not use your financial data to train any AI models, whether our own or those of our service providers, beyond what is necessary to provide the AI-assisted scanning feature to you in the moment.
As our AI features evolve, this may also include sending photos of receipts and associated financial data for automatic expense categorization. We will update this Privacy Policy if the scope of data shared with AI providers materially changes.
5. How We Share Your Information
We do not sell your personal information, and we do not share it with third parties for advertising or marketing purposes. We share information only as described below, and only as needed to operate Earn AI:
OpenAI (AI processing): the specific text, photo, or voice transcript you submit for a given AI-assisted entry, as described in Section 4.
Apple: an identity token when you sign in with “Sign in with Apple,” and transaction/subscription data when you purchase or renew a subscription through Apple's In-App Purchase system. This information is handled within Apple's own systems.
Google: an identity token when you sign in with “Sign in with Google.”
Apple and Google identity infrastructure: routine requests for public cryptographic keys used to verify sign-in tokens. These requests do not include any of your personal data.
Firebase (Google): crash and error diagnostic data, and push notification delivery (see Sections 6 and 9).
Cloud hosting and database providers: your account and financial data, as necessary to store and sync your data securely. These providers act on our instructions and do not use your data for their own purposes.
Legal and safety reasons: we may disclose information if required by law, legal process, or government request, or where we believe it is necessary to protect the rights, property, or safety of our users, the public, or us.
Business transfers: if we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy or a successor policy that you will be notified of.
With your direction or consent: for example, if you choose to export and share your annual summary with a third party such as an accountant.
6. Data Storage and Security
Your account and financial data are stored on cloud-hosted servers located in the United States. We use industry-standard safeguards to protect your information, including:
Encrypted connections (HTTPS) for all data transmitted between the App and our servers.
Passwords and authentication tokens are never stored in plain text; they are stored using one-way cryptographic hashing.
Authentication using time-limited access tokens and longer-lived refresh tokens, with rate limiting to help prevent abuse.
Verification of signed payloads from Apple to confirm the authenticity of subscription transactions.
Access controls so that, in the ordinary course, you can only view your own data, and administrative access is limited and logged.
Crash and error monitoring through Firebase Crashlytics to help us identify and fix issues quickly.
No method of electronic storage or transmission is 100% secure. While we work to protect your information, we cannot guarantee its absolute security.
We retain your information for as long as your account is active or as needed to provide the App's services. Backups of our database may be retained for a limited period (typically a matter of weeks) for disaster-recovery purposes before being overwritten on a routine schedule, in accordance with our hosting provider's standard backup cycle.
7. Your Choices and Account Deletion
7.1 Accessing and Correcting Your Information
You can review, update, or correct your income, expense, and goal entries at any time directly within the App.
7.2 Deleting Your Account
You may delete your account at any time from within the App's settings or profile section. When you delete your account:
Your profile (name, email), all income and expense records, monthly goals, subscription data, sign-in connections (Google/Apple), and authentication tokens associated with your account are permanently deleted.
Deletion is processed without undue delay, and is not merely a sign-out — your data is removed from our active systems.
Residual copies of your data may persist briefly in routine backups until those backups are naturally overwritten on our standard backup schedule. We do not use backup data for any purpose other than disaster recovery.
Once your account is deleted, your data cannot be recovered.
If account deletion is not yet available directly in your version of the App, you may request deletion by emailing us at support@earnaiapp.com, and we will process your request without undue delay.
7.3 Exporting Your Data
Earn AI allows you to generate and export a summary of your annual income and expense transactions as a PDF or CSV file, which you can save or share (for example, with your accountant) outside the App at your discretion.
This annual summary is provided for informational and organizational purposes only. It is not a tax return, legal advice, accounting advice, or a substitute for professional review. You are responsible for verifying the accuracy of all information before relying on it for tax or financial reporting purposes.
7.4 Push Notifications
If you have enabled push notifications, you can disable them at any time in your device's system settings. See Section 9 for details.
8. Subscriptions and Payment
Earn AI offers auto-renewable subscriptions managed entirely through Apple's In-App Purchase system. We do not receive, process, or store your payment card information; all billing is handled by Apple in accordance with Apple's own privacy and payment terms. We store only your subscription status, Apple product and transaction identifiers, your renewal/expiration date, and the signed transaction data Apple provides to verify your purchase.
9. Notifications
We use Firebase Cloud Messaging (FCM) to deliver push notifications, such as reminders related to tracking your income and expenses. You can opt out of push notifications at any time through your device's notification settings.
10. Children's Privacy
Earn AI is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Our Terms & Conditions also require that all account holders be at least 18 years old. If you believe a child has provided us with personal information, please contact us at the email below so we can delete it.
11. Your California and State Privacy Rights
Depending on where you live, you may have rights under state privacy laws such as the California Consumer Privacy Act (CCPA), as well as similar laws in other states. These rights may include the right to:
Know what personal information we collect, use, and disclose about you.
Access a copy of your personal information.
Request correction of inaccurate personal information.
Request deletion of your personal information.
Not be discriminated against for exercising these rights.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, so there is no "opt-out of sale or sharing" required for these practices. To exercise any of the rights above, contact us at the email below. We may need to verify your identity before completing your request.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the "Effective Date" at the top of this policy and, where appropriate, through an in-app notice. We encourage you to review this policy periodically.
